A reusable AI prompt is a standing instruction, not a question. Write it once with three blocks and it runs every Monday without edits.
The three blocks
- Fixed inputs. Name the exact files and fields the prompt expects every week: pickup by day for the next 90 days, the same period last year, and your comp set rate shop. Same names, same order, every time. If something is missing, tell the model to flag it instead of guessing.
- Explicit criteria. Your thresholds, in writing. "Flag any date that picked up more than 15 rooms in the last 7 days and is still priced below last year." A prompt without numbers returns an opinion. A prompt with numbers returns a decision.
- Output format. Say the exact shape: a table with the date, the action, and one line of reasoning. Nothing else.
Rafael Osborne (Profit Guest Services): start with the Monday rate review. It is the most repeated and most rushed task of the week, and it pairs well with an automated morning report.
Does it need rewriting every month? No. You change the thresholds, not the prompt.
